The sum shortcut excel offers is Alt + =, known as AutoSum. Click the empty cell under a column of numbers, press Alt + =, and Excel writes =SUM() with the range above already filled in. Press Enter to show the total.
It works across a row too, when the empty cell is to the right of the numbers. Excel guesses the range from the nearest block of numbers, so check the highlighted area before pressing Enter.

Sum shortcut excel steps for a column
- Click the first empty cell below the numbers.
- Press Alt + =. A moving border shows the range Excel picked.
- If the range is wrong, hold Shift and use the arrow keys, or drag over the right cells.
- Press Enter. The total appears.
Blank cells or text in the middle of the column can make Excel stop early. Fill blanks with 0 or select the full range yourself.

Sum rows and columns in one go
Select the numbers plus one empty row below and one empty column to the right, then press Alt + =. Excel fills every total at once: row totals on the right, column totals underneath, and a grand total in the corner. This is the quickest way to total a marks register or a monthly expense table.
See a total without any formula
Select cells and look at the status bar at the bottom right of Excel. It shows Sum, Average and Count for the selection. Right click the status bar to add Min and Max. Nothing is written into the sheet, which is handy for a quick check.
When the sum shortcut gives a wrong total
| Problem | Fix |
|---|---|
| Total is too small | Some numbers are stored as text; look for small green triangles and convert them |
| Range stops early | A blank or text cell breaks the block; select the range yourself |
| Shows the formula, not the result | The cell is formatted as Text; change to General |
| Alt + = types a symbol | You are in a browser or another program, not Excel |
Sum across sheets
To total the same cell on several monthly sheets, type =SUM( in the summary cell, click the first sheet tab, hold Shift and click the last sheet tab, click the cell, close the bracket and press Enter. Excel writes a 3D reference that covers every sheet from Jan to Dec for that cell. Insert new months between the first and last tab and they are included automatically. This saves writing twelve separate additions in a yearly summary.
