Merge and Center

Then C, pressed one after another

Merge Cells only

AltHM

Then M

Unmerge

AltHM

Then U

On Windows, the merge shortcut in Excel works through the ribbon: select the cells, then press Alt, H, M, C one after another. This is Merge and Center, which joins the cells into one and centres the text, the usual choice for report titles.

Excel has no single Ctrl key for merging, so the ribbon keys are the standard method. Swap the last letter to choose a different kind of merge, and keep in mind that merging keeps only the top left value.

Every merge shortcut in Excel

The ribbon sequences for merging
OptionKeysWhat it does
Merge and CenterAlt, then H, then M, then COne cell, text centred
Merge AcrossAlt, then H, then M, then AMerges each selected row separately

Unmerge CellsAlt, then H, then M, then USplits back into normal cells

Press the keys one by one. Holding them together does nothing. After you press Alt, letters appear on the ribbon to guide you.

How to merge cells in Excel with the shortcut

  1. Type the title in the first cell, for example A1.
  2. Select A1 across to the last column of the table, such as A1 to F1, with Shift + Right.
  3. Press Alt, H, M, C.
  4. The title now sits centred above the whole table.

To repeat the same merge on another range, select it and press F4.

The data loss warning

If more than one cell in the selection contains data, Excel warns that only the upper left value will be kept. Click Cancel if you need the other values. To combine text from several cells into one, use a formula such as =A2&" "&B2 instead of merging.

Merged cells cause trouble with sorting, filtering and copying. For headings that only need to look centred, use Center Across Selection instead.

Center Across Selection: merge without merging

  1. Select the title cell and the cells across.
  2. Press Ctrl + 1 to open Format Cells.
  3. On the Alignment tab, set Horizontal to Center Across Selection and press Enter.

The title looks merged, but every cell stays separate, so filters and the sort shortcut keep working.

Merge in Excel for Mac and more keys

On a Mac, Excel shows no key letters on the ribbon, so click Merge and Center on the Home tab. Alignment keys are in Excel alignment, text wrapping in wrap text, and the full set in the Excel shortcut keys list.
