The pivot table shortcut key in Excel for Windows is a ribbon sequence: press Alt, then N, then V, and in newer versions T for From Table or Range. The Create PivotTable box opens with your data range already filled in.
Once the pivot exists, Alt + F5 refreshes it after the source data changes, and Ctrl + Alt + F5 refreshes every pivot and connection in the file. Grouping dates or numbers has its own keys too.

How to insert a pivot table with the keyboard
- Click any cell inside your data. Make sure it has one heading row and no blank columns. Turning it into a table with Ctrl + T first helps.
- Press Alt, then N, then V. In current Excel a small menu opens; press T.
- Check the range and choose New Worksheet, then press Enter.
- In the field list, tick fields or drag them to Rows, Columns and Values.
In older Excel, Alt, N, V opens the box directly without the extra T. The wizard sequence Alt, D, P still works in every version and is handy for combining ranges.
Refresh after the data changes
A pivot does not update by itself when you add rows or change numbers. Click inside it and press Alt + F5. If the new rows are outside the original range, change the source under PivotTable Analyze, then Change Data Source, or base the pivot on a table so it grows automatically.
Group dates by month and numbers by range
Select a date in the pivot's row area and press Alt + Shift + Right. Choose Months, Quarters or Years. For numbers like ages or amounts, the same keys let you group into steps such as 0 to 499, 500 to 999. Alt + Shift + Left removes the grouping.
When pivot shortcuts do not work
| Problem | Fix |
|---|---|
| Alt, N, V does nothing | Click inside the data first, or your Excel uses Alt, N, V without T |
| Field list disappeared | Right click the pivot and choose Show Field List |
| Refresh shows old data | New rows are outside the source range; use a table |
| Cannot group dates | Some cells contain text or blanks; fix them in the source |
